Prominent Law Firm with offices on the West Coast, Midwest and East Coast is seeking a Conflicts Coordinator/New Business Intake Coordinator for either their NJ, Palo Alto, CA or Utah location.
Reports to: Manager of Records & New Business Intake
Preferred: 2 – 3 years of law firm conflicts and new business intake experience
What You Will Do:
Under the direction of the Manager of Records & New Business Intake the Conflicts Coordinator is responsible for a variety of tasks.
Essential Job Requirements:
- Performing conflict searches for new clients, matters and lateral attorney hires; distributing relevant search results regarding same
- Assisting attorneys and secretaries with conflicts and new client/matter opening procedures
- Processing of requests in new client/matter workflow application
- Ensuring engagement letter, conflict waiver and opposing counsel requirements are met
- Maintaining the accuracy and integrity of the Firm’s names database
- Maintaining familial relationships, conflict screens and governmental appointments/ board positions/outside business interests databases
- Erecting ethical walls/conflict screen reports
- Determining proper recipient of unidentified mail
Skills, Knowledge, and Abilities:
- Associates degree preferred. Equivalent work experience will be considered
- 2 – 3 years of law firm conflicts and new business intake experience
- Knowledge of automated conflicts software (preferably Intapp Open) and web-based search engines
- Familiarity with law firm time and billing systems (preferably Aderant)
- Knowledge of Microsoft Word, Excel and Outlook
- Familiarity with names of major companies, financial institutions and law firms, and aliases of same
- Excellent written and verbal communication skills
- Strong analytical, organizational and time-management skills
- Ability to work under pressure in a fast-paced environment with a strong attention to detail
- Strong customer service skills and ability to work in a team environment
- Ability to interact effectively with internal client base, upholding a professional demeanor at all times and demonstrating an attitude of cooperation
- Ability to work overtime when needed, often without advanced notice
- Ability to treat sensitive/confidential information with appropriate discretion.
- Maintain a reliable attendance record. Arrive to work in a timely manner and observe prescribed work break and meal periods
- Be familiar with and adhere to all firm policies and procedures
Schedule: Full-time, Monday – Friday
- NJ: 12:00 pm – 8:00 pm
- CA: 9:00 am – 5:30 pm
- UT: 10:00 am – 6:30 pm
